Room & Travel Arrangements

Following MSF registration and confirmation of student membership status in the Alumni Association, student travel and accommodations arrangements will be made by the JSPS Washington Office. It is not possible to provide reimbursement for already purchased tickets, because all student travel must exclusively be set up with JET Travel to receive JSPS support. JET Travel will contact eligible student participants after they have registered.

Please note that there are many changes in the travel and booking procedures. Please read these carefully.

Travel arrangements

All registered participants need to arrange and pay for their own travel. While it is possible to receive some financial support for travel expenses - granted that you are a presenter - it only is available on a need-basis and it is limited to $100 for up to 30 Alumni Association members in good standing (i.e., dues have been paid); first come, first serve. Students, however, receive full travel support (up to a maximum of 10 students). Shuttles to and from the airport are the responsibility of the participant.

  • Approx. 15 miles from the hotel
  • Supershuttle can provide for the transfer to and from the airport; when setting up the shuttle reservation, use coupon code "P2H54" to get a small discount; search for "courtyard" to find your hotel destination. For a multipassenger ride, it is approx. $20 each way.

Make your travel arrangements at your leisure, but we suggest to do it sooner rather than later to avoid steeper prices. Also, as mentioned above: the $100 of support are limited to the first 30 attendees signing up.

If you are making your travel arrangements during the time when funds are still available, then you will receive a $100 check at the MSF (or full coverage as a student).

Room reservations

Accommodation expenses are paid for by the JSPS. To ensure that you have a reservation under your name, please call the hotel at the number shown below and request a hold for a two-night stay, checking in on November 5 checking out on November 7 using the group code "JSPS". You will be asked for your credit card information when you place the hold, to pay for incidentals (not to pay for the room charge). Your credit card information will also be used if you decide to extend your stay for personal reasons beyond above mentioned dates.

Note: Do not attempt to book your room over the internet, otherwise you, not the JSPS, will be charged.

We ask that you commit to attendance when you place the room hold, or quickly reverse it when you find it impossible to come. Last-minute cancels within 24 hrs of arrival will incur room charges that are going to be covered by the canceling attendees credit card. Breakfast is not included, but there is a small bistro in the hotel that can easily provide a morning bite and coffee. Acceptance of the accommodation support is, of course, optional. You may pay for the hotel room yourself, which should run $134/night with the JSPS rate.
